Teardown. Rebuild. Operator.
Then your CRM runs itself.

No 80-page deliverables. No SOWs that change three times. We tear down the broken process behind your CRM, rebuild it, put an Operator on it, and run it โ€” updating records, chasing follow-ups, cleaning pipeline every day. You own the outcome.

From broken process to a CRM you can trust โ€” in detail.

01
Week 1 Process map + cost audit

Teardown

We map how the process behind your CRM actually runs today โ€” the stages, the fields, the handoffs, the exceptions โ€” and put a hard number on what the mess is costing you in dead pipeline and dropped follow-ups.

What we do
  • Two 60-minute working sessions with the process owner
  • Job shadowing โ€” we watch the work happen in your CRM in real time
  • System inventory: every tool, every field, every handoff, every exception
  • Volume + cost analysis (how many records, how stale, what it's costing)
What you get
  • A process map (one page, no fluff)
  • An honest assessment: is this a good fit for an Operator, or not?
  • If yes โ€” a scope, timeline, and outcome-priced quote
  • If no โ€” we tell you why and refund any deposit
02
Week 1โ€“2 Rebuilt-process blueprint

Rebuild

We rebuild the process before we automate a thing โ€” stages, fields, and handoffs redesigned to match how your team actually sells, so what gets automated is worth automating.

What we do
  • Redesign the stages, required fields, and handoff rules
  • Define data flow, ownership, and what "true" looks like for every record
  • Identify human-in-the-loop checkpoints (where review is required)
  • Spec out integrations (Salesforce, HubSpot, and Computer Use where there's no API)
What you get
  • A rebuilt-process blueprint you sign off on before we write code
  • Risk + edge case register โ€” what could go wrong and how we'd handle it
  • Audit + observability plan โ€” how every action is logged
  • Success metrics agreed in writing โ€” what "a CRM you can trust" means
03
Week 2โ€“4 Live Operator

Operator

We put an Operator on the rebuilt process, running inside the CRM you already use โ€” updating records, chasing follow-ups, cleaning pipeline every day, with a full audit trail and human handoffs where you want them.

What we do
  • Build the agent crew that runs the process end to end
  • Connect to your stack with native integrations and Computer Use where there's no API
  • Run shadow mode โ€” the Operator works in parallel with your team for validation
  • Tune until the success metrics from Rebuild are hit
What you get
  • A working Operator deployed in your environment, owned by you
  • Read-only dashboard โ€” every record change logged, traceable, reversible
  • One-click rollback to manual operation if anything goes wrong
  • Training for your team on oversight, exceptions, and handoffs
04
Ongoing Monthly outcome reports

Report

We run it, monitor it, improve it. Every month you get outcomes against the metrics we agreed โ€” records corrected, dead pipeline cleared, hours returned. Cancel anytime. You own the system. We own the result.

What we do
  • 24/7 monitoring + on-call coverage for failures
  • Continuous improvement โ€” tune for new edge cases as they appear
  • Quarterly business reviews with your team
  • Stack upgrades โ€” new tools, new APIs, new compliance requirements
What you get
  • Monthly report tied to the success metrics โ€” not vanity numbers
  • Pipeline health, follow-up coverage, and data-quality analytics
  • The system itself โ€” code and infra are in your repo, your cloud
  • Cancel anytime with 30-day notice. No retainer lock-in.

What we need from you.

A

One process owner

The person who runs (or manages) the process today. They're our anchor โ€” they know the edge cases, the politics, the unwritten rules.

B

Read access to the CRM

Whatever systems the process touches โ€” Salesforce, HubSpot, your data warehouse, internal apps. Read-only first; write access only after blueprint sign-off.

C

One executive sponsor

Someone who can clear blockers and approve scope changes without three rounds of meetings. Doesn't need to be in every working session.

D

An outcome you'll measure

The success metric we'll be paid against. Pipeline cleaned, follow-ups covered, forecast accuracy regained, hours saved. We help define it if it's not already.

What people always ask.

What if it doesn't work?

We don't get paid the outcome fee. The build fee is fixed and covers our cost โ€” but the recurring revenue is tied to results. If the Operator doesn't hit the success metrics from Rebuild, you're not on the hook for the variable component. Cancel anytime with 30 days notice.

Where does the code live? Who owns it?

Your repo, your cloud, your IP. We deploy in your AWS / GCP / Azure account. The agent code, prompts, and orchestration logic are all yours. If you cancel, you keep running it. We're not a SaaS โ€” we're a build-and-operate firm.

What if our compliance team has concerns?

Bring them to the Teardown. Most of our work is for regulated environments (financial services, healthcare, legal). We design for SOC 2, HIPAA, and audit-trail requirements from day one. Every Operator action is logged, traceable, and reversible. We've yet to hit a compliance review we couldn't pass.

Can the Operator handle exceptions?

Yes โ€” that's the entire point. We design for exceptions in Rebuild (the risk + edge case register). For anything outside the defined boundaries, the Operator escalates to a human via Slack or email. Nothing goes silently sideways.

How is this different from buying an AI tool off the shelf?

An AI tool is software with one job. An AI Operator is a system tailored to your specific process โ€” your CRM, your stages, your edge cases, your data. We don't sell software you have to learn. We deliver an outcome you can measure on a P&L.

What processes are not a good fit?

Anything that requires consistent human judgment with no repeatable pattern. Anything where the cost of an error is catastrophic and unrecoverable. Anything that depends on relationship-building (real sales calls, leadership decisions, hiring). We'll tell you in the Teardown if it's a no.

What does it cost?

Build fee: $25Kโ€“$75K depending on process complexity. Operate fee: outcome-priced โ€” typically a fraction of the cost of the role(s) being replaced, paid monthly against measurable results. Run the calculator to see what your specific process would look like.

Ready to tear it down?

30-minute call. We'll tell you honestly whether the process behind your CRM is a fit, what the build would cost, and how fast we could ship.
